The real problem

Your board is running a legal institution with consumer tools.

Your state has rules about notice periods, violation hearings, and assessment collections. Your bylaws add more — quorum requirements, voting thresholds, architectural standards, fine schedules. Gmail and Google Drive don't know any of that.

VeraHeim checks both layers — state statutes and your community's own governing documents — so you don't have to remember them.

All it takes to get started

Bring one of these. We handle everything else.

Option 1

Your existing HOA website

Paste the URL. VeraHeim reads the design, finds your board members, downloads your linked governing documents, and rebuilds your community's site with compliance built in.

Most existing HOA sites — even old ones — have everything we need.

Option 2

Your governing documents

Drop your bylaws, CC&Rs, ARC guidelines, and fee schedule. VeraHeim reads them, extracts every rule, reconciles them with your state's statutes, and configures your platform to match — automatically.

PDFs are fine. Scanned PDFs are fine. Even the old ones from 1998.

That's it. No 30-field forms. No "schedule a demo." No setup fee.

What goes wrong without a system

These aren't hypothetical. They happen to real boards every month.

Your meeting notice was late

Florida law requires 48 hours' notice for board meetings and 14 days for annual meetings. Miss the deadline and the vote can be challenged. VeraHeim checks the timing automatically before you post.

The records live in six places

Bylaws in a Dropbox folder, minutes in someone's Gmail, financials on a laptop that left with the old treasurer. VeraHeim puts everything in one place with visibility controls that match your state's requirements.

Nobody wants to be president next

Board turnover is the real crisis for small HOAs. When the system carries the institutional knowledge instead of one person's memory, the next volunteer can actually say yes.

Who it's for

Three boards. Three messes. One fix.

The board inherited a mess

Records scattered across shared drives, personal inboxes, and a box of minutes in someone's garage. The new president has no idea what's current.

Upload everything into VeraHeim. AI classifies documents, organizes them by category, and builds a searchable library. The next president inherits a system, not a scavenger hunt.

Nobody remembers the process

Is it 48 hours or 14 days for this meeting notice? Do we need a hearing before fining? Who approved that ACC request? The answers live in one person's head.

VeraHeim turns tribal knowledge into product behavior. Upload your bylaws and AI extracts the rules. State statutes add the legal layer. Meeting notices check both. Violation workflows follow both. The process is the software.

Residents don't trust the board

Owners email asking for records, meeting dates, and account balances. Every question is another thread. Transparency is low and frustration is high.

Residents get a portal with announcements, documents, meeting notices, and their assessment balance. Self-serve access means fewer repetitive emails for the board.

How it works

Set up in a day. Not a month.

1. Create your workspace

Enter your community name, state, and lot count. VeraHeim sets up your portal with the right compliance defaults.

2. Upload your records

Drag in bylaws, CC&Rs, owner spreadsheets, and old documents. AI classifies them, extracts key rules — quorum thresholds, notice periods, fine limits — and loads them into your compliance engine.

3. Turn on what you need

Start with meetings, documents, and announcements. Add violations, assessments, polls, and ACC when your board is ready.

4. Invite your community

Residents get a portal with documents, notices, and self-serve access. Board members get workflows and compliance tools.

FAQ

Common questions.

How does a community get started?

Share your existing HOA website or upload your governing documents (bylaws, CC&Rs, etc.). AI rebuilds your community's site in about 5 minutes — pulling design, board info, and rules from what you already have. Review the extracted settings, invite your board, and most communities go live within 30 minutes.

Who is this for?

Self-managed HOAs of any size — from a few lots to a few thousand. If your board runs on Gmail, a shared Drive folder, and whoever happens to remember the rules, VeraHeim replaces that with one system. The self-serve plans (Starter / Board / Growth) cover most communities; very large or multi-board associations should contact us about Enterprise. We're not built for property management companies.

What does "compliance-aware" actually mean?

Two layers of checks. First, state statutes: when you schedule a board meeting, VeraHeim checks the legally required notice period for your state. When you start a violation, the workflow follows your state's notice-and-hearing process. Second, your governing documents: when you upload your bylaws and CC&Rs, AI extracts your community's specific rules — quorum thresholds, voting requirements, fine limits, architectural standards — and checks those too. It's not a legal disclaimer — it's built into the product.

What does AI do?

AI helps during onboarding (importing messy records, classifying documents, extracting rules from your bylaws and CC&Rs), during operations (drafting meeting minutes, generating assessment letters, preparing board packets), and for continuity (making the system easier for the next board member to understand).

Can I try it before paying?

Yes. Every community starts with a 12-month free trial of the full Board plan — violations, assessments, compliance automation, AI drafting, everything. No credit card required. When the trial ends, pick the plan that fits: Starter ($19/mo) for the essentials, Board ($29/mo) to keep the full toolkit, or Growth ($49/mo) for larger communities up to 200 lots. Your data and settings carry over either way, and your monthly price is locked for 3 years from the day you convert.

What happens when my trial ends?

You pick a paid plan and keep going at full speed. If you don't pick a plan in time, your workspace enters a 30-day reactivation grace period — the community site stays up, but board members see upgrade prompts before posting announcements, sending email, or running AI features. After the grace period, the public site is paused but board members can still sign in to upgrade or export. Six months after your trial ends with no payment, the workspace is archived and the data is permanently deleted — we'll email you well before that happens. One-click data export is always available. We're generous with off-ramps, but we're not in the business of hosting abandoned sites forever.

Will my price ever go up?

When you convert from trial, your monthly price is locked for 3 years. After that, we may adjust with inflation, but we always give 90 days notice and you can cancel anytime. Founding Members (the first 50 communities to convert) get a permanent 50% discount on the Board tier — that price never changes as long as you stay subscribed.

Is there a discount for paying annually?

Yes. Pay annually instead of monthly and save 15% — same plan, same features, same price lock. Available at any time before or after conversion.

What states are supported?

Florida (Chapter 720) is live with full compliance built into meeting notices, violation workflows, assessment tracking, and document visibility. Washington (RCW 64.90 / WUCIOA) is next — including the 2028 transition from RCW 64.38. The core platform works anywhere; state-specific compliance modules add the legal guardrails.
